Compensation: $72,000 – $80,000

FTE Status and Hours: Full-time (1.0 FTE), 37.5 hours a week

Duration: Permanent

Reports to: Director of Community Health Services

Location: On-site (2 clinic locations)

 

Planned Parenthood Toronto (PPT) is a fully accredited community health centre that provides primary health care services to youth 13 to 29 years, as well as health promotion programming, education, training and research to improve the health and well-being of Toronto’s diverse communities. Our clinical team (MDs, NPs, and RNs) provides interprofessional primary care, sexual and reproductive health care, and gender-affirming care to youth across Toronto, including non-insured youth accessing care without OHIP. We are a unionized work environment under OPSEU Local 5115

We are currently seeking a permanent, full-time Clinic Manager to oversee our Clinics. This position will primarily work at our main downtown location (36B Prince Arthur Ave), but will oversee the functioning of our North York Satellite location (940 Sheppard Ave. West) and support the work of our Black Reproductive Health team and Mobile Health Unit,

Overview of Responsibilities:  

The Clinic Manager will ensure that the quality of care provided to clients meets a high standard consistent with PPT’s philosophy of client-centered, client-empowering support and service.  The Clinic Manager is responsible for managing PPT’s clinic service (at our main site, satellite site(s), mobile clinics, and Black reproductive health clinics), the administrative staff of the health services team, and supporting the Clinical Team and the Director of Community Health Services in realizing PPT’s strategic priorities, mission and vision in accordance with PPT’s values.

Job Specific Responsibilities: 

  • Oversee and carefully manage processes and procedures in the Clinic to ensure that they are being completed at the highest standard and in a clinic environment that is non-judgemental, trans-centred, anti-racist, queer-centred and sex-positive
  • Manage the clinic schedule using our electronic medical record system (including at our satellite site and mobile clinics), ensuring appropriate clinician and reception coverage, streamlined and clear workflows, including communication with PPT clients and community stakeholders.
  • Oversee and manage the inventory of hormonal and non-hormonal birth control, antibiotics and IUDs and supplies for re-sale, including overseeing the Point-of-Sale software and end of day balances.
  • Work closely with RN to ensure lab and exam rooms are properly stocked, managing the ordering and inventory of medical supplies
  • Oversee medical reprocessing, facilitating this process as needed, and ensuring timely maintenance of equipment is completed
  • Report and respond with any mitigation plans, any incident reports related to the clinic
  • Play a lead role in the agency’s accreditation process
  • Write and update protocols to guide administrative services as required by ensuring existing policies and protocols meet current best practices in primary health care.
  • Identify opportunities to improve quality standards and service delivery, and to address barriers within the PPT clinic to achieve PPT’s strategic priorities via responsiveness to an intentional and robust client feedback process
  • Coach direct reports (permanent and relief Receptionists and Medical Secretaries) ensure staff develop work plans consistent with the agency’s strategic goals, the operating plan, and both clinical and health promotion priorities and their own individual goals and objectives
  • Organize orientation/onboarding for all new clinicians, and support hiring as needed
  • Monitor and manage specific budget expenditures applicable to the health services administrative teams and/or clinic operations
  • Provide leadership, facilitate, and support program teams and/or committees and work groups as required.
  • Contribute to agency-wide funding applications and reports
  • Working in collaboration with the Director of Community Health Services, identify health service innovations, particularly those related to health equity, that are responsive to evolving community needs

  • Demonstrate openness and responsiveness to emerging client and community needs as identified by the agency
  • As it relates to your position fulfill responsibilities outlined by the agency’s funders
  • Participate at management, staff and team meetings and other activities/meetings related to the agency, as requested
  • Actively participate in quality improvement activities and support a culture of quality improvement throughout the organization
  • Contribute to a culture of philanthropy at the agency that may include participating in fundraising initiatives and/or acting as ambassadors for the agency
  • Available to work some evenings and weekends as required
  • Engage in professional development to optimize the fulfillment of the job requirements
  • Perform other duties from time to time as related to the job
  • Support agency-wide values, goals and objectives
  • Attend the agency’s Annual General Meeting

Qualifications: 

  • University or college degree in social services, health, or medical office administration or 5 years equivalent experience
  • Minimum 3 to 5 years experience in clinical setting preferably in a community-based setting
  • Progressive management experience an asset
  • Commitment to, and interest in, health equity
  • Demonstrated commitment to anti-racism and anti-oppression goals and principles, sexual and reproductive rights, social and reproductive justice, and to being youth positive, 2SLGBTQIA+ positive, sex positive, sex work positive and to being inclusive of diverse sexual and gender identities
  • A commitment to taking measure to address historic and ongoing medical racism and misogyny in policy and practice
  • Commitment to working cooperatively in a community-based setting as part of an inter-disciplinary team.
  • Commitment to pro-choice philosophy
  • Experience working with youth or in a youth-centred environment an asset
  • Knowledge of sexual health and community resources an asset
  • Experience working on a joint health and safety committee an asset
  • Demonstrated planning, teamwork and organizational abilities
  • Demonstrated attention to detail and ability to meet deadlines
  • Demonstrated proficiency and knowledge using MS word, excel, database software, email and Internet.
  • Knowledge of Slack, Asana and Google Doc/Sheets an asset
  • Knowledge of PS Suites EMR an asset
  • Excellent written and verbal communication skills
